Administrative Assistant-Construction Division

The Administrative Assistant facilitates the efficient operation of the assigned department by performing a variety of clerical, recordkeeping, and administrative tasks while assisting with the smooth operation of the divisions and/or department assigned to.
Responsibilities
•Execute assigned tasks for the Construction division and Human Resources department.
•Organize and maintain filing systems as directed.
•Retrieve and analyze information from records, emails, contracts, and other documents; prepare written summaries or reports as needed.
•Address and resolve administrative inquiries and issues promptly and professionally.
•Arrange and manage travel plans, meetings, and appointments for managers and supervisors.
•Schedule appointments and provide referrals in accordance with instructions.
•Perform data entry and filing tasks related to accounts payable, purchase orders, equipment inventory, and confidential employee or departmental records.
•Compile budget information and maintain accurate financial records as required.
•Prepare, copy, and assemble reports and correspondence for mailings, meetings, and other purposes.
•Fulfill additional duties as needed to support the organization.
Knowledge & Skills
•Excellent verbal and written communication skills.
•Excellent interpersonal and customer service skills.
•Proficient in Microsoft Office Suite or related software.
•Excellent organizational skills and attention to detail.
•Basic understanding of clerical procedures and systems such as recordkeeping and filing.
•Ability to identify and solve problems.
•Ability to prioritize and efficiently manage multiple tasks and deadlines.
•Demonstrated ability to work effectively as part of a team while also taking independent initiative.
